Notary Services

Notary services are available for individuals who present a valid government issued photo identification (e.g., Passport or US Passport Card, State issued drivers, non- driver license). Only documents written in the English language can be notarized. There is a 5-document limit per customer.

Pursuant to New York State Notary Law, a document that is being notarized requires the following:

  • A statement or document that is being acknowledged by the notary. (Sample Affidavit)
  • The venue – the State and County where a notary public takes an affidavit or acknowledgment. EX: “State of New York, County of (New York) ss.:
  • The Jurat – a part of an affidavit where the notary public certifies that it was sworn to before the notary. EX: “Sworn to before me this ........ day of ........, 20 ......

A Notary has no authority to certify a document or notarize their own statement. A Notary can only notarize another person’s signature after that person makes a statement on their own document and signs in front of a Notary Public.

The individual getting the document notarized must be physically present before the notary. A document must be signed in the presence of the notary. It cannot be notarized if it was signed beforehand.

Please be advised, the Notary Department does not notarize the following documents:  

  • Wills
  • Trusts
  • Deeds
  • Documents that require witnesses
  • Documents with dual languages without a Translators Affidavit

 

Authentication of Documents

The following can be authenticated by the New York County Clerk’s Office:

  • A document notarized by a Notary Public qualified in New York County or has filed a signature card with the New York County Clerk’s Office.
  • A live signature by a Public Official that has placed their signature on file at the New York County Clerk’s Office
  • The name and title of the Public Official on the agency’s document.
  • The official seal from the issuing agency.

Authentications can be processed in person. The authentication fee is $3.00 per document. Payment can be made in cash, or by certified check, attorney check, credit card, money order or official bank check in U.S. dollars payable to the New York County Clerk. The New York County Clerk’s Office does not accept personal or company checks..

Documents that have been authenticated by the Notary Department will be ready for Apostille certification. Please be advised, the Notary Department does not forward documents to the Department of State to be Apostilled.

 

Authentication by Mail

To authenticate documents by mail, the New York County Clerk’s Office requires the following:

  • A written request that includes your email address, phone number and return address.
  • A self-addressed stamped envelope
  • A Money Order, attorneys check or certified bank check in U.S. dollars payable to the New York County Clerk. Please be advised, The New York County Clerk’s Office does not accept personal or company checks. 
  • The fee to Authenticate a document is $3.00.
    *Please note: one Long Form Birth/Death Certificate with a Letter of Exemplification is authenticated as one document for $ 3.00.

Documents that have been authenticated by the Notary Department will be ready for Apostille certification. Please be advised, the Notary Department does not forward documents to the Department of State to be Apostilled. The documents will be returned to the customer via mail.

 

Letter of Exemplification for a Long Form Birth or Death Certificate

To authenticate a Long Form Birth or Death Certificate, please obtain the Long Form Birth/ Death certificate with a Letter of Exemplification. You may obtain a Long Form Birth/Death Certificate with a letter of Exemplification from:

Marriage Certificate

To authenticate a Marriage Certificate, please obtain a certified copy of the Marriage Certificate with an original stamp and signature of the City Clerk. You may obtain a certified copy of the Marriage Certificate from:

School Documents

Any school related documents (e.g., Diplomas, Transcripts, syllabuses) that will be authenticated by the County Clerk’s Office must be:

  • Certified by the schools Registrar’s Office
  • Acknowledged (notarized) by a New York State notary that is commissioned in New York County

Translations

To authenticate a translation, the translator must complete a “Translation Affidavit” statement and attach it to the document. The statement must then be notarized by a Notary Public qualified in New York County.
